How we handle
your details.

UK AI Group collects personal details in two places only: the message form on our contact page and the free AI maturity assessment. We use them to reply to you, to prepare and discuss your results, and for marketing only if you tick the box. Contact messages are deleted after twelve months and assessment records after twenty four months. Email hello@ukaigroup.com to see, correct or delete anything we hold. This notice is written in plain English rather than legal language. It is the whole of what we do with your details, not a summary of something longer.

Who we are

UK AI Group is a small UK consultancy that helps small and medium businesses use AI and automation. We are the data controller for the details described here, which means we decide what is collected and why. The quickest way to reach us about anything on this page is hello@ukaigroup.com.

What we collect

Only what you type into one of our two forms, plus the ordinary technical information every website receives, such as your IP address and browser, which our hosting provider records in its server logs to keep the site running and safe.

Why we use it

To reply to your enquiry, to work out and talk through your assessment results, and to keep an accurate record of what we agreed. We only send marketing if you asked for it, and you can stop it at any time.

How long we keep it

Contact messages for twelve months from your last message. Assessment records for twenty four months from the day you took it. Then they are deleted. This is the policy UK AI Group commits to, not an estimate.

The two forms

Exactly what
each one asks for.

Nothing is collected in the background and there is no hidden profiling. Every field below is one you can see and fill in yourself, and the ones marked optional can be left blank.

The contact form

Your name, your email address, your phone number and business name if you choose to give them, the topic you pick from the list, and your message. There is also a hidden anti-spam field that must stay empty. Our lawful basis is legitimate interests: you asked us to get in touch, and replying to you is what we both expect. We keep the message for twelve months from your last contact, unless you become a client.

The AI assessment

Your business name, sector, team size and main goal, your name, your role if you give it, your email address, your phone number if you give it, your answers to the eighteen questions, and the scores worked out from them. You also choose three tick boxes: one required, confirming you understand we will use the details to provide and discuss your results, and two optional ones for a findings conversation and for occasional updates. Our lawful basis is legitimate interests for producing and discussing your results, and consent for the optional contact and marketing. We keep the record and the findings PDF for twenty four months.

If you become a client

We keep what we need to run the work and to meet our legal duties: contracts, correspondence and invoices, for the length of the engagement and then for six years, which is the period tax and contract law expects. That is a legal obligation rather than a choice.

What we never do

We do not sell your details, rent them, trade them or add you to anyone else’s list. We do not buy lists. We do not use your details to make an automated decision that has a legal or similarly significant effect on you. Your assessment answers are not shared with other businesses.

Who else sees it

Three suppliers,
and nobody else.

We use three service providers to run the site, to send the emails and to keep the records. They act on our instructions under a contract and cannot use your details for their own purposes.

Google Workspace

Submissions are saved by a Google Apps Script into a Google Sheet, and each set of assessment findings is written to a PDF and filed in Google Drive. Access is limited to the UK AI Group people working on your assessment or enquiry.

Vercel

This website is hosted by Vercel, which serves the pages and runs the small endpoints the two forms post to. Vercel holds the ordinary server logs described above, and it never receives a copy of the register.

Resend

The confirmation we send you, and the alert that reaches us, are delivered by Resend. It handles your name, your email address and the contents of that email, including your assessment findings PDF where there is one. It sends on our instructions and does not market to you.

Where your details are

All three are large international providers, so your details may be processed outside the United Kingdom. Where that happens it is covered by the transfer safeguards UK data protection law recognises, and the protection travels with the data.

When we have to share

We would also pass details on if the law required it, for example a court order or a regulator’s request, or if we needed advice from our own accountant or solicitor. There is nothing else, and no advertising network is involved at any point.

Cookies and your browser

This site sets
no cookies.

There is no cookie banner because there is nothing to consent to. No analytics, no advertising tags, no social media pixels and no third-party trackers of any kind.

No tracking at all

We do not set a single cookie, and we do not load any script that profiles you across other websites. We also load no web fonts, so no third party learns that you visited from the page itself.

The assessment saves on your device

So you can stop halfway and come back, the assessment keeps your progress in your own browser’s local storage, on your computer or phone. It stays on your device, we cannot read it, and it is cleared once you finish. Clearing your browser data removes it immediately.

How to use them

One email is
all it takes.

There is no form to fill in and no charge. Tell us what you want and we will do it, or explain honestly why we cannot.

Email us

Write to hello@ukaigroup.com with what you would like: a copy of your details, a correction, or deletion. If it is about an assessment, quoting the reference on your results makes it quicker. We reply within one month, and usually within one working day.

If you are not happy

Tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator. Complaining to them does not stop you raising it with us.

Changes to this notice

If what we collect or how we use it changes, we update this page and change the date at the top. This notice was last updated on 17 September 2026. Older versions are not published, so if you need one, ask us.
